Interview Scheduling – Facilitates the scheduling of interviews between hiring managers and job applicants

  • Allows managers to either sync their preferred calendar or provide standard calendar availability so applicants can pick from available times to self-schedule their interview
  • Allows both managers and applicants to handle cancellations and reschedules with notifications

 

Text Communications (Base Package) – TalentReef Text Communications platform includes a communication toolset for SMS text messaging conversations between a Recruiter / Manager to Applicants / New hires.  The SMS communication platform has the following capabilities:

  • 1 local telephone number by location
  • 3 concurrent users per associated telephone number can utilize the service at the same time
  • Ability to quick compose SMS, including quick add of contact 
  • Full audit trail of SMS communication
  • Standard opt out functionality for candidates that choose not to receive SMS communication
  • Configurable templates
  • Bulk compose SMS messages
  • Team collaboration, ability to invite other recruiters or manager users into a conversation
  • Includes up to a 150 sent text messages per month / per location.  Texts more than 150 per location / month TalentReef reserves the right to bill at $.018/text.

Recruitment Marketing – The TalentReef Recruiting Platform encompasses a thorough recruiting toolset that facilitates a social and mobile recruiting process that enables companies to leverage numerous outlets to drive candidate traffic. The Recruitment Marketing module has the following capabilities:

  • Content Management System capabilities, including a storage library for recruitment assets to be accessed and leveraged through recruitment outreach.
  • On-Demand Campaigns – Build an unlimited number of campaigns to meet your recruitment needs as they arise.
  • Integration between your corporate website/career site and talentReef.
  • Search Engine Optimization (SEO) – Provides the ability to setup every job as its own branded, sharable SEO landing page, incorporating video and other media types.
  • Social and Email Sharing – Recruiter dashboard provides easy sharing of campaigns and positions to social networks and via email campaigns.
  • Mobile – job search, career and position pages delivered in mobile friendly “responsive design” that can be utilized across platforms and devices.
  • Talent Community & Integrated Social CRM – Captures subscribers into a central talent community. Ability to send automated updates to subscribers based on their preferences.
  • Analytics – Tracks data from source through hire, enabling you to optimize your recruiting strategy and recruitment spend.
  • Automated job posting distribution to job boards.
  • Employer Branding – ability to create templatized Career Pages using your company branding to reflect company and culture to applicants and job seekers.
  • Text-to-Apply – a talentReef provided five-digit code for candidates to text client specific keywords and associated emojis, which will populate a link to the client’s application. Pre-filtered jobs can also be presented based on the code combination that the client outlines. Includes up to 500 texts/location/month. Texts in excess of 500/location/month will be billed at $.015/text.
  • Sponsored Job Board Integrations to facilitate sponsoring jobs through the talentReef user interface.

 

Applicant Tracking System (ATS) – Applicant Tracking supports candidates applying via the web using a tablet, computer, or smartphone in English and Spanish.  The Applicant Tracking module has the following capabilities:

  • Collects and stores applicant data to be used in the applicant screening process.
  • Provides workflow to support the hiring process as well as notifications and alerts to prompt next steps in the process.
  • Ranks and scores applications based on our five-star rating system.
  • Collects data for compliance with the Equal Employment Opportunity Commission (EEOC), guidelines for Affirmative Action Plan (AAP) management and Office of Federal Contract Compliance Programs (OFCCP).
  • Eliminates the need for paper applications.
  • Captures signatures electronically.
  • Delivers applicant status notifications.
  • Background screening and, as applicable, employment & education verification provided by a third-party integration, if contracted for by customer.
  • Pre-qualification- Measures, through an applicant’s response to questions, how well a candidate matches a particular posting, from available workdays to expected pay level to how many miles the applicant is willing to travel to work.
  • Position fitness- Measures an applicant’s response to questions relating to job, ability, aptitude, experience, and certifications.

 

Assessments – Tool to facilitate employee(s) pre-screening and evalation for job role(s) and culture fit. The Assessment module has the following capabilities:

  • Psychometric assessments – Provides guidance, through an applicant’s response to questions on certain personality factors generally believed to be important criteria in determining positive job performance. Psychometric assessments attempt to assess energy level, frustration tolerance, ability to multi-task successfully, application of judgment or other personality traits desirable for a specific job/position.
  • Creates an interview guide specific to an applicant’s responses to the assessment.

 

Onboarding – Onboarding automates and increases compliance and Customer controls associated with the onboarding of new employees.  Onboarding has the following capabilities:

  • Automated process to provide a consistent onboarding process and procedures and ensure program compliance. At a minimum, Onboarding workflow will include:
  • Form I9 completion and integration with E-Verify.
  • Presentation/acknowledgement of statutory forms W-4, state withholding and I-9 including automated reminder(s) of E-Verify requirements, expiring documents, re-verifications and receipt reminders for I9’s. Form acknowledgements include click-thru acknowledgement and digital signature capture as appropriate.
  • Presentation and acknowledgement of custom forms.
  • Pre-population of certain data fields based upon previously acquired applicant data providing consistency in responses.
  • Workflow to include new hire and hiring manager form review and acknowledgement, when appropriate.
  • Onboarding activity completion status view by new hire.

 

E-Verify – TalentReef’s system can facilitate, in conjunction with TalentReef’s integration to USCIS’ E-Verify system, the ability to verify eligibility to work in the United States.  This process includes:

  • Support of hiring manager E-Verify training and knowledge quiz.
  • E-Verify processing through integration to E-Verify system (utilizing I9 data captured during the onboarding process).
  • Photo-based verification.
  • Workflow support for resolution of tentative non-confirmations, SSA referrals, and final non-confirmations.
  • E-Verify SSA Notice and Referral letters.
  • Storage and audit log of E-Verify process to support Customer audits.

 

Employee Self-Service – TalentReef’s system can facilitate employee self-service to support post hire activities including: The ability to:

  • Complete and update preferred payment method/enroll in direct deposit.
  • Complete and update withholding tax data.
  • Complete and update profile and contact information.
  • Complete and update emergency contact information.
  • Complete and update demographic information such as race and gender.
  • Set veteran and disability status.

 

Employee Engagement – Integrated platform for engaging with active employees through documenting and storing daily interactions between employees and supervisors:

  • Instant feedback to keep employees informed on their performance.
    • Counseling forms.
    • Performance Evaluations and Engagement Surveys. 
    • Promotion opportunities. 
    • Development plans and goals.
  • Evaluation scoring and criteria for standardization of performance metrics.
    • Automated assignment of appraisals based on time intervals.
  • Goal setting activities to align business objectives between organization and employee.

 

Training – The Training module offers both training courses and the management of training courses.  Training has the following capabilities:

  • Employee can track and manage completion of training at their own pace.
  • Employee may view content as many times as needed while moving successively through the content.
  • Support of manager assigned training, position-based training, location-based training or a combination of the three.
  • Training content supported includes video, audio, and text.
  • Presentation and scoring of tests/training related quizzes.
  • Track training course completion, scores and statistics.
  • Track progress towards completion on an individual course basis and percent of all assigned employee training.
  • Reporting and tracking of training compliance by location, department, manager and course.

 

Employee Data Extract – TalentReef’s system provides a configurable report that can be utilized for exporting employee records from TalentReef.  This report can be utilized for importing data into a third-party system.  This extract can be scheduled or run on an ad hoc basis and exported to multiple formats (including .txt and .csv).  This tool can be used for reporting employee data or for importing data into a third-party tool.  To utilize all elements of the Employee Data Extract, utilize TalentReef’s standard onboarding forms.  The Employee Data Extract has the following capabilities:

  • Configure an employee export report from a standard set of system fields.
  • Filter the employee data by specific information such as location, position title or employee event (e.g., hired or terminated).
  • Organize the output, including data field order, header labels, file name, and the data delimiter.
  • Schedule the frequency of the data export.
  • Receive email notifications when employee exports have completed.

 

Social Recruiting – The TalentReef Social Recruiting Platform facilitates a social and mobile friendly recruiting process that enables companies to create branded recruiting websites to attract and engage applicants. The Social Recruiting module has the following capabilities:

  • Content Management System Capabilities, including a storage library for recruitment assets to be accessed and leveraged through recruitment outreach.

  • Integration between the your corporate website/career site and talentReef.

  • Talent Community & Integrated Social CRM- Captures subscribers into a central talent community. Ability to send automated updates to subscribers based on their preferences.
  • Analytics- Tracks data from source through hire enabling you to optimize your recruiting strategy, and recruitment spend.
  • Automated job posting distribution to job boards
  • Employer Branding–ability to create templiatized Career Pages using your company branding to reflect your company and culture to applicants and job seekers
  • Career Sites-ability to create a configurable Career Page leveraging video, text, imagery, carousels, searching of open job postings, links to your social media platforms, and links to third party websites.

 

Payroll Data Extract (PDE) – TalentReef’s system provides a configurable report that can be utilized for integrating employee records into a third-party payroll system.  This extract can be run on an ad hoc basis and exported to multiple formats (including text and .csv files) to be uploaded on demand to a third-party system.  To utilize all elements of the Payroll Data Extract, please utilize all standard onboarding forms.  This differs than the Employee Data Extract in that it requires some level of customization.

 

Employee Sync – TalentReef provides a configurable feed (Single or Bi-Directional) for use in sending employee records from TalentReef, and receiving termination data from third-party systems. TalentReef is not responsible for any additional cost from third-party systems (e.g. Payroll Providers) in order to support this integration.

 

Chat Apply – TalentReef’s Chat Apply gives applicants the ability to quickly fill out an application and schedule an interview via a conversational AI chatbot experience. Chat Apply can be easily accessed from your existing career pages, Text-to-Apply workflow, or QR codes and offers an automated process to do the following:

  • Populate position-specific screening questions
  • Engage candidates with your brand via tailored gifs and a branded chat experience
  • Collect completed applications
  • Assess candidate qualifications
  • Schedule interviews based on qualifications and manager availability

 

Third Party Applicable Services

Tax Credit Processing – TalentReef’s system can, in conjunction with TalentReef’s integration with certain tax credit processing vendors facilitate, the processing of tax credit eligible candidates with the following capabilities/requirements:

  • Additional contract with Tax Credit Processing provider is required.
  • Processing of Work Opportunity Tax Credit (WOTC), state tax credits and zone credits.
  • Evaluation of candidates to determine potential tax credit eligibility.
  • Paperless processing where allowed by tax authorities. Certain circumstances and/or certain tax authorities may require additional documentation that cannot be processed on-line.
  • Feed data in real-time to the TalentReef tax credit processing partner, eliminating manual data entry and maximizing utilization of the statutory processing period.
  • Capture of electronic signatures.

 

Background Check Processing – TalentReef’s system can, in conjunction with TalentReef’s integration with certain Background check vendors facilitate, the processing of background checks with the following capabilities:

  • Integrated background check processing.
  • Optional roll-based submittal and workflow processing.
  • Configurable user rights, email reports and adverse action processing.
